Step 3: Create a renewal policy

With the help of renewal policies, you can enforce hosts to confirm the ongoing necessity of their guest accounts after a specific period of time. When this option is enabled, hosts will receive a Teams notification prompting them to confirm the need for continued usage once the designated time has elapsed. In case the host does not respond, automated reminders can be sent. If the host remains unresponsive, you have the option to define an action to be taken.

To apply a renewal policy to guests, it must be associated with a template. You will create the first template in Step 4: Create a template.

Creating a renewal policy

Getting started

  1. Open the Guests admin center at https://admin.guests.one (opens in a new tab).
  2. Navigate to Offboarding > Renewal.
  3. Click on "Add" to create a new policy.
  4. Provide a name for the template, such as "Renewal Every 180 Days".
  5. Add a description to understand the purpose of this policy, e.g., "Default policy for renewal every 180 days".

Configuring the policy

  1. Set the expiration period, indicating the number of days to wait before notifying the host to renew the guest access, e.g., 180 days.
  2. Specify the number of reminders you wish to send to the host if they miss the renewal, e.g., 3.
  3. Specify the number of days after which you want to resend the reminder to the host, e.g., 7.
  4. Specify the action to be taken if the host does not renew the guest. Available options are None, Report, Block, Delete.

Save and activate the policy

  1. Save the policy. You can revisit and modify the configuration at any time.
  2. After saving, go to the templates and attach the policy to the template configuration.
  3. Save the template.
  4. Start testing.
